Presentation instructions

Virtual Conference

Due to the COVID-19 pandemic, SiPS 2020 has been moved to a fully virtual conference. We have opted for a format where each contributed presentation will take the form of a pre-recorded video, available during the scheduled dates of the conference and on-demand after the live portion of the conference concludes.

As a basis for the on-demand programming, we request that you prepare and upload a video of your presentation, consisting of a brief introduction with webcam, if desired, followed by voice-over-slides for your presentation. This will be considered as a replacement of your attendance at the conference and is a requirement for your paper to remain in IEEE Xplore. This media will be posted within your presentation time slot on the SiPS 2020 on-demand virtual platform. Please note that the file must be a video file in MP4 format (more details below). Please do not try to upload PowerPoint or PDF files to the submission portal.

Your presence is requested for a virtual Q&A with attendees throughout the conference, through the virtual platform. Specific instructions and directions to the platform will be provided at a later date.

Recording your video

Our recommended approach to record a compatible video from content displayed on your computer screen and voice recorded via the computer microphone, is to record the presentation using Zoom, available to users on most platforms and in most countries:

Instructions for recording your presentation with Zoom:

For Authors located in China who are unable to access Zoom for free, please use the free software OBS, which allows also to capture simultaneously yourself while speaking and your slides:

Technical Guidelines for your Video

Duration: 12 to 15 minutes
Full size: 100MB maximum
Video file format: .mp4
Dimensions: Minimum height of 720 pixels, aspect ratio 16:9

Please note the final specifications will be checked at the time of submission. Files not compliant may not be uploaded.

Please be sure the video includes the title of the paper, the authors, and mention to SiPS 2020.

Submitting your Video

Instructions for video upload have been sent by email. Each author has been provided with an individual link for uploading their video. In order for videos to be verified by the technical program committee, there is considerable urgency in preparing and uploading your video. Accordingly, we ask you that you please finalize your video no later than Wednesday, August 26, 2020. This is a HARD DEADLINE. Presentations will not be accepted after this date.

If you have any questions or issues with uploading your video presentation (or if you did not receive the link for uploading the video), please contact Leah Jones (ljones@conferencecatalysts.com). As a reminder, videos that are not received by the deadline will be considered no-shows in accordance with the non-presented paper policy.

Despite the difficult situation, we are excited for the opportunity to interact with you in this new format, and to learn with you the advantages of utilizing this virtual platform for SiPS. We thank you for your cooperation in this endeavour.
